ANNUAL GENERAL MEETING HELD AT CUBLEY HALL

ON WEDNESDAY 10th  OCTOBER,  2012

MINUTES OF PREVIOUS MEETING

The minutes of the previous meeting have been circulated and were passed as a true record.  Prop. Bob Innes, Sec Steve Dickinson.

 

RECEIVING OF ANNUAL REPORT

Chairman Keith Gordon read out his annual report.

 

RECEIVING OF AUDITED ACCOUNTS

Treasurer Pauline Senior presented the audited accounts for 2011/2012.

 

It was reported that the cost of Coaching Courses is getting very expensive.   

 

There is a large excess of income over expenditure during the year but there may be future costs if the Club is to develop the facilities at the Football Club.

 

Steve Dickinson presented the Club with a cheque for £500 from the West Riding Masonic Charities Ltd to be used to purchase equipment.

 

Proposed Ian Charlesworth sec John Spencer that they be accepted.

A discussion was held on the Editor of the Hill as Ailsa Park has resigned from the post and no Member has offered to take it over.   It was suggested that a weekly/monthly newsletter was circulated by e-mail with any articles included.    Martyn Cartwright to send an e-mail asking for a volunteer.

 

The above were unanimously elected into position Proposed, Steve Dickinson, Sec, John Pitt.   

 

ELECTION OF AUDITORS

Mike and Anne Smythe agreed to act as auditors for the next financial year and were elected to the post.  Prop. Pauline Senior, Sec. Jill davis.   All in favour.

 

TO FIX THE AMOUNT OF ANNUAL SUBSCRIPTIONS

Information has been received from England Athletics that they are increasing members Registration fees.    Martyn Cartwright read out the proposed increases and the reasons why EA have had to increase them.    A general discussion was held on the increases for both Seniors and Juniors.   Senior Members 17 and over will have to pay £10 unless they want to compete on the Track when it will be £20.    Under 17 will have to pay £15 and under 11 is still free unless they want Athletic 365 membership in which case it will be £15.    A proposal was put forward that as we have made a large profit last year, then the under 17 fees remain at £5 and the Club pays the extra £10.    This will only be for those who run in races.   All Juniors who are currently Registered with EA will continue to pay £5.    Proposed Steve Dickinson sec. Sue Charlesworth all in favour.      

 

Pauline Senior proposed that the current Annual Subscription remains the same as at presnt and this was unanimously agreed.

 

ADOPTION OF RACES FOR 2010 AND APPOINTMENT OF ORGANISING COMMITTEES

 

Hartcliffe Hill Race – 18th April to be organised by Pete McLeod, Barbara Haigh and Steve Frith.  

 

Penistone Boundary Race - 19th May with the same organising Committee as last year.   John is happy for Cubley Hall to sponsor the event again.

 

Penistone 10K Race – 30th June to be organised by Keith Gordon (entries), Sue Higham, Martyn Cartwright, Ian Charlesworth, Jill Davis, Colin Porteous, Jane Foster, Jackie Armitage, Geoff Dimelow and Tim Mullett.

 

Thurlstone Chase – 13th July to be organised by Simon Rippon, in conjunction with Thurlstone Gala.

 

David Horsfall has asked if the Club will take over the organisation of the Hunshelf Amble.    A discussion was held on this and it was agreed that the Club would support the race but would not take over the organisation as it was felt that we currently organise or help at enough events already.

TO RECEIVE AMENDMENTS TO CONSTITUTION RULES

There have been no Amendments submitted.

 

DATE OF NEXT AGM

The next AGM will be held on Wednesday 9th October 2013, venue to be agreed.
